Certificate Issuance Playbook

Configure evidence. Review eligibility. Issue the right credential.

This guide shows how IgniteIQ certificate issuance works in practice for courses, reusable learning paths, and scheduled cohorts—from policy setup to the learner receiving a verified certificate.

Permission

Use an owner, admin, tutor, or custom role with certificates:manage.

Template

Create or activate at least one reusable certificate template for the company.

Online decisions

Issue, Hold, and Reject are online-only so permission, duplicates, and audit remain atomic.

Step 1

Choose the certificate mode

No certificate

The target does not promise or issue a future certificate. Existing issued credentials are unchanged.

Manual approval

Selected evidence gates create a pending review. An authorized admin or tutor decides when to issue.

Automatic after eligibility

IgniteIQ issues only after every selected gate passes. This is explicit and never uses a hidden fallback template.

Step 2 — Configure the target
  1. 1Open Courses and create or edit the course, learning path, or scheduled cohort.
  2. 2Open the Certificate policy area for that exact target.
  3. 3Choose No certificate, Manual approval, or Automatic after eligibility.
  4. 4Select an active reusable certificate template.
  5. 5Select only the evidence gates your rollout actually requires.
  6. 6For a path or cohort, choose how child course certificate policies should behave.
  7. 7Save the policy, then publish or update the learning target.
Cohort scope

A scheduled cohort is not a generic learning path review.

A cohort policy is saved with the cohort identity and evaluated against the learner's active cohort membership and required scheduled courses.

When the selected gates pass, its review appears under Cohorts in Certificate Issuance. Use Learning paths for reusable path reviews that have no cohort identity.

Step 3

Understand each eligibility gate

Final exam passed

Every required final exam for the target must be passed. Leave this unchecked for a content-only completion policy.

Required content completed

All required course or path content must reach completion before eligibility is created.

Learning path completed

The full required learning path or scheduled cohort course set must be complete.

Tutor or admin approval

The eligible learner stays in review. The authorized Issue decision records the approving actor and timestamp; there is no separate approval screen.

Content-only example: if Required content completed and Learning path completed are selected but Final exam passed is not selected, exams do not block eligibility. The review appears after the selected completion gates pass.
Step 4 — Child course behavior

Suppress child certificates by default

Learners receive only the path or cohort credential. Completing a scheduled child course does not create another certificate.

Allow explicit child course policies

A child course may issue only when it already has its own active policy and passes its own gates. This option does not create child policies automatically.

Step 5

Review and issue from Assignments

  1. 1Open Assignments and select Certificate Issuance.
  2. 2Choose Courses, Learning paths, or Cohorts to match the policy target.
  3. 3Use status, template, and learner search filters to narrow the queue.
  4. 4Open the eye action to inspect completion, exam, approval, duplicate, and decision evidence.
  5. 5Select Issue to create the public credential after confirmation.
  6. 6Select Hold to pause the review with a required internal reason.
  7. 7Select Reject to decline the eligibility event without deleting learner completion.
  8. 8Refresh and confirm the row status and queue metrics changed. Use checkboxes only for verified bulk decisions.

Learner experience

Before gates pass: no issuance review appears.

Pending: the learner sees certificate pending approval.

Held or rejected: internal reasons are not exposed by default.

Issued: the valid certificate appears in the learner certificate area and remains publicly verifiable.

Troubleshooting

No learner appears

Confirm the policy and template are active, every selected non-approval gate passed, the learner belongs to the target, and the target/status filters are correct.

A cohort appears under the wrong filter

Scheduled cohort reviews belong under Cohorts. Learning paths shows reusable path reviews without a cohort identity.

The template is missing

Confirm the reusable template is active and belongs to the company or is an approved global template.

Decision buttons are disabled

Reconnect to the internet. Credential decisions require live permission, duplicate, and atomic audit checks.

Final check

No row means eligibility is not ready yet.

Check policy, template, gates, learner assignment, target filter, status filter, and refresh—in that order.
